For web and marketing agencies with 8 to 20 people

Do you see which budget tips over before month-end?

It cost us money every month until we built this ourselves: budget, logged hours, approval, and invoice in one dataset. You see before month-end what's tipping over and what's still unbilled.

THE PROBLEM

Your business is healthy, but you’re still flying partly blind.

Quotes live in Word, hours live in an app nobody likes, customer contacts sit in the sales inbox, and the details from the phone call only exist in the memory of whoever took it.

Is the Berger company project still making money? You only find out Thursday evening, when you line up the three lists side by side and reconcile them by hand. Same story, every time…

This costs more than nerves. When information and hours are transferred manually, valuable time disappears. Two hours a week per employee sounds harmless. With 15 people and a €90 hourly rate, that adds up to more than €120,000 per year, in work that was done but never billed.

The usual workaround is a full-blown industry system: requirements docs, consultants, and a six-figure budget. After a year of implementation, the software is shaped around the business instead of the business around the software. No wonder you’ve stayed with Excel so far.

Calculate it for your business
2 Std. × 15 Leute × 45 Wochen × 90 €
121.500 €
earned in a year but never invoiced.
45 working weeks per year, excluding vacation and public holidays.

That’s why we build it differently.

HOW IT WORKS

From your workflows to a running system in three steps.

1

You tell us. We shape it around your needs.

30 minutes on a call: how does an order come in, who does what, where does the friction happen. Before implementation, we map your phases in the system. You see your own software before signing anything.

2

We set everything up and bring in your data if needed.

Your project phases, your fields, your logo, your stock from Excel or your old tool. We give you one fixed price that stays fixed. No hidden costs, no back-and-forth. Simple and transparent.

3

Up to 14 days after your data arrives, your team is working in the system.

The clock starts once your data is delivered, a point of contact is named, and the scope is set. If you later realize a column is missing or a workflow could be improved, just tell us. Adjustments are included in the monthly fee, not in your next quote. We’re also happy to train your team in a workshop.

WHAT’S INCLUDED

Everything your business needs. Nothing that gets lost.

The platform underneath your custom setup is the same in every workflow. It runs reliably, is maintained, and improves every week. You decide which parts your team sees; the rest stays hidden and out of the way.

Inquiries & sales

Every enquiry has a place, a status, and a responsible person. Follow-ups are a click away, not a note and a phone call across the office.

Quotes & invoices

Once a deal is won, the quote and invoice follow automatically. No duplicated typing or endless searching.

Projects & tasks

Your team sees what matters each morning, in a board, list, or timeline that matches the way your business works.

Time tracking

The timer sits on the task. Every hour is tied to the right project and shows up in billing automatically.

Budgets

Planned, used, remaining. Live per project. The Friday evening invoice scramble disappears.

Metrics

Revenue, utilization, open items at a glance. No Excel exports, no BI tool needed.

Calendar

Deadlines and appointments live with the tasks they belong to.

Documents & knowledge

Files and instructions live where the work happens.

Goals & milestones

Your annual plan is fed by real project progress, automatically.

AI assistant

Summarizes and prioritizes tasks and workflows. Runs in compliance with EU standards.

Roles & integrations

You decide who sees what. Includes integrations with Google Calendar, Outlook, and an open API, plus export support for accounting.

WHAT IT LOOKS LIKE

See before month-end which budget is tipping over and what's still unbilled.

No lining up three lists by hand. Budget, logged hours, and approval status run live per project and retainer, in one place.

WHO’S BEHIND IT

From Graz. Built out of real need.

Project Manager started with a small team in Graz and is part of the Webformance agency. We built the platform for ourselves first, because our own invoicing run frustrated us every month just as much as it probably does you: chasing hours, quotes, and agreements across multiple sources before a single invoice went out. Today our sales, our projects, and our invoicing run on it. We only considered offering it to others later, which is why we're starting with three pilots instead of a finished sales pitch.

Development

Improves the platform week by week — many features come directly from customer requests.

Big enough to build and run your system. Small enough that you speak to the same person on the second call and get a reliable partner.

Pilot program

This fall, we're taking on three agencies as pilot customers.

Not a finished product for everyone — three real collaborations with real data. Afterwards, you decide whether to continue at regular terms.

Pilot terms

Setup
€490
then per month
€149
Duration
3 months
  • Configuration, data import, and a jointly reviewed first invoicing run
  • 20 minutes of feedback every two weeks
  • Cancel anytime, full export of your data (CSV/XLSX, e-invoice XML)
  • If you stay after the pilot, your price is locked for 24 months

Not a fit if

  • you're under 8 people — the switch isn't worth it yet
  • your projects are fixed-price with no time tracking
  • you're over 30 people or run multiple locations

Terms apply for the pilot period. Details and process on the pilot program page.

Contact

Honestly: we're early. The platform runs daily for our own agency, but we haven't yet run it in production with someone else's company data. That's exactly why we're starting with three paid pilots instead of open signup, and we say so directly in the first call.

Because we want to prove data separation, billing logic, and data recovery with real customers before we scale. Three independent agencies completing a real business cycle and choosing to stay at regular terms matters more to us than ten signups at once.

Your phases, your fields, your terms, your reports, your permissions. The technology underneath is the same for every customer and improves continuously through feedback. You get a system shaped around you, without the price tag or the risk of a custom build.

€490 setup, then €149 per month, 3-month term. If you stay afterwards, the agreed price is locked for 24 months. If you don't continue, you get a full export of your data.

Fair question, and we take it seriously: no employee outside the support team has access to customer accounts, support access is limited and logged, and confidentiality is written into the pilot contract. If that's not enough for you, raise it in the first call and we'll work it out concretely.

We get it. From Excel, from your old CRM, from whatever tool mix you have today. Import with a reconciliation report is part of the setup, then we review together to make sure the numbers add up.

In Frankfurt, GDPR-compliant. You can export everything anytime. If you leave, you take your data with you – that's just good practice for us.

The clock starts once your data is delivered, a point of contact is named, and the scope is set. From there we plan for up to 14 days for configuration, import, and a jointly reviewed first invoicing run.

No, one price for the whole team during the pilot. Read-only client access doesn't count as a user.

First Consultation

Spend 30 minutes with us. After that, you'll see your business in a system.

No lengthy briefs, no endless follow-up loops. You tell us what you need, we implement it. And if it's not the right fit, you've invested half an hour and at least seen your workflows organized once.

  • Live walkthrough of your workflow
  • Individual Q&A for your situation
