Projects: create one, attach tasks and log time

A project bundles tasks, time entries and budget in one place. Create it in a minute, then see at a glance how much time and money have already gone into it.

Prerequisites
  • You're signed in and your organization has the "Projects" module activated.
  • Optional: a CRM client you want to link the project to.

    Link a project to a client

    Both the creation form ("Link client") and the project detail view later let you pick an existing CRM contact. Once a client is linked, clicking its company name jumps straight to its CRM entry.

    Understand the hourly rate and budget

    The hourly rate (€/h) feeds the cost display once time has been logged. The "Budget (hours)" field in the creation form is a simple hour cap used on the project overview — the more detailed budget card in the project detail view (budget type, amount, bill-rate override) is a separate mechanism you set up there additionally.

    Add tasks directly from the project

    The "Add a new task…" field under "Tasks" quickly creates a task with status "Todo" that's automatically linked to this project. Add priority, category, due date and assignees afterwards, either in the task detail or from the Tasks module.

    Log time on the project

    On the right of the project detail, start a live time entry under "Timer" (optionally with a task and description), or fill in date, hours and minutes after the fact under "Log manually". Both land in the "Time Entries" list and feed "Total Time" and the cost figure at the top.

    Set the project status

    Use the status dropdown in the project detail to switch between "Active", "Blocked" and "Paused". For Blocked or Paused you can add a short note explaining what's holding things up.

    Open the projects overview

    Open "Projects" from the main menu (route /projects). Each card shows the name, a short description, task count, logged time, cost (if an hourly rate is set) and budget progress as a bar.

    Create a new project

    Click "New Project" in the top right. Only the name is required; description, hourly rate, budget in hours, linked client and color are all optional. Click "Create" to finish.

    Open a project's details

    Click a project card to switch to its detail page. The left side holds tasks, time entries and comments; the right side holds budget, timer and manual time entry — the project's total time runs live in the top right.

    Change a task's status right from the project

    Click the status icon in front of a task in the task list to pick Todo, In Progress, Done or Backlog — without switching over to the Tasks module.

Common pitfalls
  • Two separate budget mechanisms

    The "Budget (hours)" from the creation form only drives the progress bar on the project card. The budget card in the project detail ("Set up budget") is a separate object with its own budget type, amount and bill-rate override — it stays empty even if hours were already set when the project was created.

  • Quick-added tasks only have a title and status

    Using "Add a new task…" from a project creates a task with no priority, category or due date. You add those afterwards in the task's detail view.

  • Deleting requires the exact project name

    A project's delete dialog only accepts the "Delete" click once you type the project's name exactly into the confirmation field — a typo prevents an accidental deletion.
