Meetings: keep meeting notes, track action items and write weekly reviews

The "Meetings" module lives as two extra tabs inside the calendar: Meetings (notes, agenda, transcript, action items per meeting) and Weekly Reviews (a personal weekly retro with a mood trend). Both tabs only appear once the module is activated.

Prerequisites
  • You're signed in and your organization has the "Meetings" module activated — only then does the calendar show the "Meetings" and "Weekly Reviews" tabs.
  • Optional: Google Calendar connected, so newly created meetings automatically get a Google Meet link.

    Open the Meetings tab

    Open "Calendar" from the main menu and switch to the "Meetings" tab at the top (next to Calendar, Gantt and Weekly Reviews). On the left is a list of all meeting notes, grouped into Upcoming/Today/Yesterday/Earlier; on the right, the selected meeting's detail.

    Organize meetings with folders

    Use the plus icon next to "Ordner" (Folders) in the left column to create a folder. Each meeting can be assigned to exactly one folder when created or edited; "All meetings" and "No folder" are fixed filters at the top of the list. Deleting a folder only removes the assignment — the meetings themselves stay, just moving under "No folder".

    Create a new meeting

    Click "New meeting" in the top right. Only the title is required; date, time, duration, topic, attendees (with suggestions from your team), folder and agenda items are optional. If a Google Calendar account is connected, saving automatically creates a matching event with a Google Meet link — without one, the meeting still saves fine, just without a Meet link.

    Summarize a transcript with AI and detect action items

    Once you enter a transcript or notes in the form, two AI actions appear: "Mit KI" (With AI) turns the transcript into a summary, and "Scan (Claude)" scans the same text for action items and can automatically create key results and milestones from it (the number of items created is shown immediately). Both buttons only appear when the AI assistant is enabled for the organization.

    Meeting detail: the six sub-tabs

    An opened meeting shows six sub-tabs: Agenda (points captured before the meeting, clickable to check off), Summary (AI or manual summary plus the first five action items), Transcript (raw text), Actions (the full action item list, also checkable), Thread (a chat channel linked to this meeting — requires the Chat module, otherwise a notice is shown) and Files (attachments specific to this meeting).

    Join and edit a meeting

    As long as a meeting hasn't ended yet and a Google Meet link exists, a "Join meeting" button appears at the top of the detail view. The pencil icon opens the edit form (including moving it to a different folder); the trash icon deletes the meeting after confirmation.

    Weekly Reviews: open the tab

    Switch to "Weekly Reviews" in the calendar. On the left is the list of past weekly reviews plus a small mood-trend chart at the bottom (one bar per week, average mood shown at the bottom right) — this chart only appears once at least two reviews are saved.

    Write a weekly review

    The button in the top right reads "Review this week" (or "Edit" if one already exists for the current week — only one review per calendar week is possible; clicking again overwrites the existing one instead of creating a new one). The form asks for four free-text fields (Went well, Didn't go well, Focus next week, Biggest win) plus a mood rating from 1 to 5.

Common pitfalls
  • Meetings and Weekly Reviews share one module toggle

    Both tabs are gated by the same module flag (internally called "reviews", display name "Meetings"). If it's disabled, both "Meetings" and "Weekly Reviews" disappear from the calendar entirely — there's no separate toggle for just one of them.

  • Only one weekly review per calendar week

    The "Review this week" button automatically detects whether an entry already exists for the current Monday–Sunday week and silently switches to "Edit" instead. There's no way to backfill a review for a past week without one using this button.

  • Google Meet sync fails silently

    If no Google Calendar is connected (or it's unreachable), a new meeting still saves normally — just without a Google event and without a "Join meeting" button. No error is shown for this.

  • AI actions need a transcript

    "Mit KI" and "Scan (Claude)" stay disabled while the transcript field is empty, and they only ever run on that text field — not on the summary or the agenda items.
