Calendar: use the views, create events and connect external calendars

The calendar brings together task due dates, milestones, goals, meetings and your own appointments in one view. Switch between month, week and day, create an event in seconds, and connect Google or Outlook if you need to.

Prerequisites
  • You're signed in and your organization has the "Calendar" module activated.
  • Optional: tasks, milestones or meetings with a due/target date that should show up in the calendar.

    Switch between views

    Use Day, Week and Month in the top right to switch views. Above that, the arrows navigate and "Today" jumps back to the current date; on the left, the mini calendar helps you jump to another month quickly.

    Show and hide event types

    In the "Event types" section of the left sidebar, toggle Tasks (due date), Milestones (target date), Goals (target date) and Meetings individually — useful when a view feels cluttered with too many due dates.

    Connect more calendars

    The gear icon "Calendar settings" lets you connect Google Calendar or Outlook, subscribe to external iCal URLs (e.g. Apple Calendar), or generate your own iCal feed link to share your calendar. It's also where you turn on "Share my availability" so teammates only see your busy/free times.

    Open the calendar

    Open "Calendar" from the main menu (route /calendar), "Calendar" sub-tab. Month view opens by default; clicking a day with entries opens an agenda on the right listing everything for that day, plus "Up Next" for upcoming items.

    Create a meeting, appointment or event

    Click "Create" in the top right. The menu offers three variants: Meeting (also creates a meeting note and can be linked with Google Meet), Termin/appointment (a purely personal entry) and Event (an entry in the chosen target calendar, e.g. Google).

    Fill in and save the appointment

    Enter a title and date, turn on "All day" if needed or set a start and end time, optionally add a description, pick the target calendar and check off attendees from your organization. Clicking "Create Event" saves it.

    View appointment details

    Click an entry in the day agenda, or directly in the calendar grid, to open a detail popup with its type, date and status. "Open" takes you to the full task, milestone or meeting.

    Use the week view

    In week view, all-day entries (tasks, milestones) run along their own row at the top, while the hourly grid below shows entries with a fixed time. The day agenda stays visible on the right once a day is selected.

Common pitfalls
  • Meeting, appointment and event are different objects

    "Meeting" also creates a meeting note, "Termin"/appointment is a purely private entry visible only to you, and "Event" lands in the chosen (Google) calendar. Depending on what you pick in the "Create" menu, you get a genuinely different record, not just a different title.

  • An appointment ("Termin") is private

    An entry created via "Termin" only appears in your own calendar ("My Calendar · private, visible only to you") — teammates don't see it, even if they have access to the same organization calendar.

  • Read-only calendars are missing from the target calendar dropdown

    Only Google calendars you have write access to (owner or writer) are selectable when creating an event. Calendars you've merely subscribed to don't show up there.
