Accounting: scan receipts with AI, manage invoices and your tax profile

The Accounting module bundles three tabs — Receipts (incoming invoices/expenses with AI scanning), Income (the same invoice management as the standalone "Invoices" module) and Settings (tax profile plus BMD export profiles for Austria).

Prerequisites
  • You're signed in and your organization has the "Accounting" module activated.
  • The tax profile and BMD export profiles under Settings require the Owner or Admin role — other roles see the profile read-only.

    Upload receipts and let AI scan them automatically

    As soon as you pick a file (PDF or image) in the upload dialog, an AI scan starts in the background and fills date, amount and merchant straight into the form fields — nothing to type manually, though you can correct the values before saving. A receipt with a successful scan gets a purple "AI" badge in the list with a tooltip (the required AI-feature disclaimer).

    Duplicate detection on upload

    If the system detects an existing receipt with the same date, you get a yellow notice with the duplicate's date instead of an error — a button lets you decide whether to upload anyway or cancel.

    Filter receipts and assign a project

    The filter icon opens a popover for date range, status (Uploaded, Failed, Archived) and project. Clicking a row opens the detail view, where name, date, amount, merchant, project and a review status (New, To review, Reviewed) can be adjusted afterward.

    Income — the same invoice management as the "Invoices" module

    The "Income" tab shows the exact same interface as the standalone "Invoices" module (filter tabs, tiles, templates, product catalog, sending) — see the dedicated "Invoices" article for details. Both use the same data; there's no separate invoice set.

    Settings: tax profile

    The "Settings" tab holds legal jurisdiction (country), tax ID/VAT number, tax regime (e.g. small-business exemption), timezone, fiscal year start month, and a default invoice number prefix. Without the Owner/Admin role the form is read-only, with a notice saying so.

    Settings: BMD export profiles (Austria)

    Further down you manage BMD export profiles (BMD NTCS accounting software) — one profile per firm/client mapping, with a name, a JSON mapping and a default toggle. Any change to an existing profile creates a new, versioned revision instead of overwriting the mapping; older mappings stay traceable.

Common pitfalls
  • The AI scan is a snapshot, not a booking

    The scan only fills in the upload form; the receipt only really exists after you save it. If the scan fails, the receipt can still be filled in and uploaded manually as normal (a background "scan skipped" flag).

  • The Income tab and the Invoices module are one data source

    An invoice created or edited here shows up identically in the separate Invoices module and vice versa — it's the same embedded interface, not two parallel systems.

  • BMD revisions don't overwrite anything

    "Create revision" on an existing profile creates a new version; the previous mapping is kept in the background rather than deleted.

  • Tax profile and export profiles are Owner/Admin only

    Regular members see the current values on the Settings tab but can save neither the tax profile nor BMD profiles.
